Privacy Policy

We take our responsibilities concerning data privacy very seriously.

The David Hall (TDH) records your name, address, phone number and email address to process orders and to communicate with those who sign up to the mailing list.

No other financial or personal information is stored on our booking system.

TDH will never divulge, sell or distribute any information we have concerning you other than to provide our third party suppliers MailChimp and Silvertrees Web Development with the minimum information needed for them to provide the distribution services they provide for us.

The UK-General Data Protection Regulations (UK-GDPR) replaced the EU GDPR regulations following Britain leaving the European Union on the 31st December 2020.

Data we hold on EU citizens must comply with both the UK GDPR and the EU GDPR.

 

The data we hold

Personal data

For each customer TDH records the following information:

  • Name
  • Address
  • Phone number(s)
  • Email address
  • Contact preferences
Volunteer data

For our volunteers we may store an emergency contact number for use only in the event of an emergency.

The names of volunteers appear on the volunteer rota for events. This is accessible only to TDH Volunteer Administrators, The Volunteer Co-ordinator and other TDH Volunteers.

Payment data

Our accounting system will record:

  • Name
  • Cheque number (as a reference)

TDH does not retain any payment card details, bank account number or sort code.

Customer name may also be stored in our accounting system to identify payments to individuals e.g. ticket refunds.

Online payments are processed by Stripe Payment Processing who are a commercial bank with appropriate high security data systems. Stripe debits your bank account and credits TDH bank account. At no time does TDH see any financial details.

TDH receives a transaction reference number from Stripe so that any future disputes may be dealt with.

 

What we do with personal data

TDH box office system records your data so we can contact you if, for example, an event is cancelled or rescheduled, and to send order confirmation for purchases made through the website.

Stored contact details are used when making subsequent bookings to speed up the process by eliminating the need to provide these details again for every booking.

A mailing list of email addresses is maintained which is used for distribution of information regarding the hall, marketing and publicity materials.

Mailing list subscribers name and email address (but no other data) are shared with service providers Mailchimp and Silvertrees Web Development who provide distribution services for us.

If payment is by cheque the cheque number is recorded as reference in case there is a payment problem. TDH does not store your bank sort code or account number.

 

What we will not do with personal data

We will not divulge, sell or share your data with any individual or organisation outside the Petherton Arts Trust (David Hall) other than to provide our third party service providers MailChimp and Silvertrees Web Development with the minimum information needed for them to distribute material on our behalf (see above).

We will not send unsolicited marketing emails to you. Emails are sent only to those people who subscribe to the mailing list. We may email new customers inviting them to subscribe to the newsletter, automatically receive electronic versions of the programme when it is released or request a printed copy of the programme.

Third party service providers (MailChimp and Silvertrees Web Development) provide distribution services to deliver this service. You may adjust your contact preferences or completely unsubscribe on the web site or by contacting us using the contact options below.

 

How long will we store your data

TDH will keep your contact details on our database indefinitely to send confirmations and information relating to purchases, make future transactions quicker and to allow us to send you news relating to TDH and details of future events in accordance with your contact preferences.

We retain your contact details only for these purposes.

If you no longer wish your details to be retained please contact us and we will remove them as soon as possible after receiving the request.

We inform you of the personal data we keep and how we use it through this Privacy Policy.

Request Access

You have the right to request a copy of all your personal data from us.

Request rectification

You can request that we amend your personal data where it is incorrect or incomplete.

Request that we erase some or all of your personal data

We will erase your personal data if requested unless it is required to be retained for legal reasons, if it still needed for the purpose for which it was collected or if there is an unresolved dispute.

Request restriction

You can request that we stop processing all or some of your personal data if the data is inaccurate or not needed for a specific purpose.

Object to us processing your data

You can do this if we are processing your data on the legal basis of legitimate interest, or we are processing your data for direct marketing.

Bookings can be made at the box office in person without needing to record your name etc. if you don’t wish to give it. However, if you choose to do that, we won’t be able to notify you of cancellations etc.

To ask us to remove or correct your personal data, unsubscribe from the mailing list, to indicate delivery preferences (printed, electronic or both) or for any other concerns regarding the data we hold and it’s processing please contact us and your request will be dealt with as soon as possible (contact details below).

 

Security

The data we keep is split between multiple secure computer systems for the website and its orders, David Hall financial administration and distribution of news and marketing information.

The website &the box officecustomer details database is hosted by a commercial web hosting company. They maintain high levels of data security and systems are permanently monitored for any attempts to breach their security. All access to this data is controlled, requires a secure login password and is only accessible to authorised personnel.
